

DAY-OF CO-ORDINATOR - ADD ON
Enjoy a hassle-free wedding day by having Cork & Crate finalize, confirm and execute the vision
that you have put together. This allows you to enjoy the day without being bombarded by
vendors’ questions and guests requests.
PRE-WEDDING
The Day-of Event Coordinator (Herein referred to as ‘The Co-ordinator) will work with the couple to finalize all details of the Event.
The Co-ordinator will spend a maximum of 3 hours in the 4-8 weeks prior to ensure those details are finalized.
The Coordinator will not spend a maximum 4 hours the day prior to the Event supervising the set-up and rehearsal. The Coordinator will be on site for a maximum of 11 hours. On the day of the event, the total service time will be 18 hours.
The Coordinator will work with the couple to establish details of the wedding and the dates they are required. This includes, but is not limited to; final guest count, seating plan, liquor license, insurance, etc. in place.
The Coordinator will review the list of vendor names, contacts, phone numbers and email addresses no later than 7-days prior to the event. These will include:

Bartenders

Caterer
-
Transportation
-
Florist
-
Decorate/Rental Item Provider

Cake Decorator
-
DJ/Band
-
Officiant
-
Photographer
-
Makeup Artist/Hair Stylist/Barber
PRE-CEREMONY/RECEPTION

The Coordinator will be responsible for helping with and coordinating set-up at the venue with the Couple, vendors, guests and wedding party needs. Rehearsal day is 1-4 pm.

The Coordinator will direct all vendors to their respective places and assist in unloading and setting up items as needed.

The Coordinator will gather and arrange all necessary parties for formal portraits with the photographer.

The Coordinator will facilitate the "first look" as needed.

The Coordinator will help direct any live music, microphones and sound equipment supplied by Cork & Crate Estates prior to the ceremony and ensure that it is in working order and can be heard from all guest positions.

The Coordinator will direct the caterer, florist, photographer and all other vendors to their respective places and assist in unloading and setting up items as needed.

The Coordinator will help direct any live music, microphones and sound equipment prior to the ceremony and ensure that it is in working order and can be heard from all guest positions.
CEREMONY

The Coordinator will ensure the Ceremony starts on-time.

The Coordinator will cue the musicians/sound person to begin playing music.
-
The Coordinator will cue the processional and the accompanying music.

The Coordinator will assist with the Bridal Party entrance and Bride grand entrance.

After the ceremony, the Coordinator will direct guests to the cocktail area.
RECEPTION

The Coordinator will help direct clean-up and disassembling of items and decorations at the ceremony before attending the reception.

The Coordinator will help find places for gifts (likely relocated to the Sunflower Suite)

The Coordinator will ensure that everything is in check after the dinner and that bathrooms have been restocked, are clean and that garbage has been emptied.

The Coordinator will open the garage doors prior to dinner and ensure they are closed by 9:30pm.

The Coordinator will ensure all bathrooms are well-stocked at all times with toilet paper, towelettes, etc.

The Coordinator will ensure the Event is running smoothly prior to their departure.
TERMS AND CONDITIONS

The Co-ordinator is not responsible for negotiating, agreeing to or altering any contracts with vendors including the Cork & Crate contract.

Services are capped at the stated hours. Any additional hours requested by the client on the rehearsal or event day will incur additional charges, subject to availability and pre-approval.

The Coordinator is not responsible for the performance or conduct of third-party vendors or guests.

The Coordinator will take reasonable care in performing duties but is not liable for incidents beyond their control.
